Administrative Assistant (Full Time)

Department: Surgery
Location: Lake Charles, LA

Surgical Administrative Assistant

DESCRIPTION OF POSITION:

  • The Administrative Assistant assumes responsibility for the organization and clerical activities for the department served. Assists in the planning, directing, and coordinating of activities and meetings. Prepares necessary agenda and minutes for the department served.

RESPONSIBILITIES AND DUTIES:

  • Organizes and performs clerical activities and data preparation legibly, safely and efficiently.
  • Documents legibly.
  • Communicates appropriately with patients, visitors, and staff.
  • Refers patient/visitor concerns to appropriate administrator in an efficient manner.
  • Coordinates and maintains administrative calendars in a timely and accurate manner.
  • Supports management and staff in resolving departmental issues.
  • Performs other assigned duties in an efficient manner (such as Risk Management, Payroll Management, Policy and Procedure Manual updates and Committee minutes.)
  • Incorporates healthy workforce in daily practice.
  • Acquire data from primary and secondary sources and maintain databases
  • Collecting and interpreting performance data metrics of surgical services
  • Analyzing results
  • Reporting the results back to the relevant members of operations and surgery section meetings
  • Identifying patterns and trends in data sets
  • Process payroll entries
  • Validate time sheets for LOCUMs
  • Assists with processing accounts payable (Invoices)
  • Working alongside teams within the business or the management team to establish operational needs including staffing, productivity, and payroll processing
  • Defining new data collection and analysis processes that help leaders proactively manage operations of surgical services
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy

EDUCATION AND WORK EXPERIENCE

  • High School Diploma/GED
  • 2 years experience in similar role.
  • Should have strong math skills and business acumen, interpret data, and be curious.
  • Experience with Microsoft Excel, Word, and PowerPoint.
  • Capable of clear and succinct verbal and written communications; Possess a high level of patience and tenacity; Capable of rapid problem identification and resolution.
  • Requires emotional stability and maturity; Must be adaptable to change, be decisive, and demonstrate foresight; Exhibits organizational and leadership ability.

Physical Demands/Work Environment

  • Moderate amount of lifting and positioning of patients and equipment.
  • Ability to walk frequently and stand or sit for prolonged periods of time.
  • Ability to see objects closely and hear normal sounds with some background noises.
