Trauma Registrar - Full Time - Days

Department: Trauma Center
Location: Lake Charles, LA

DESCRIPTION OF POSITION:

 

  •  The Trauma Registrar works under the direction of the Trauma Program Manager and the Trauma Medical Director. They also work under the supervision of the lead trauma registrar. The registrar is responsible for the collection, entry, maintenance, and reporting of data for the Trauma Center as required by appropriate regulatory agencies. Utilizes analytical, cognitive, and leadership skills, the registrar will retrieve, organize, disseminate, and analyze the collected trauma data for injury research, epidemiology studies, prevention initiatives, patient safety, and performance improvement. The original data shall be obtained from Emergency Department records, electronic medical records, and EMS chart review. The registrar will code and enter data into the computerized trauma registry, maintaining confidentiality at all times. High-quality studies begin with the entry of high-quality data. Registry data may be used internally and externally for research, clinical performance and process improvement, public health initiatives, injury prevention strategies, trauma system proposals, clinical outcomes measurement, and resource utilization. The trauma registrar is responsible to perform this task.

SUPERVISION: Reports directly to the Trauma Program Manager and the Trauma Medical Director.

RESPONSIBILITIES AND DUTIES:

  • Manages and maintains trauma registry data collection and data validation in conjunction with the Trauma Program Manager and lead trauma registrar for the Trauma Center.
  • The trauma registrar will create data reports for the Trauma Medical Director, Trauma Program Manager, internal health care professionals and external governmental agencies as requested. In addition, the lead trauma registrar may create reports to support internal and external hospital wide research projects and initiatives.
  • Oversees registry inclusion, data abstraction, data entry, and ensures record closure in a timely manner.
  • Supervise technological support including: computer security, discoverability, Health Insurance Portability and Accountability Act (HIPPA) disclosure tracking, computer training, as well as maintaining the demands of a computer database on a daily basis.
  • Responsible for ensuring the trauma registry runs efficiently, stream line processes and maximizes efficiency.
  • Collects and enters data into the trauma registry regarding trauma patients at the Trauma Center in a timely manner.
  • Assigns and scores all injuries utilizing the most current AIS and ICD scoring systems. Completes and verifies all data for accuracy.
  • Evaluates the documentation of nursing staff/hospital providers and identifies missing data elements. Collaborates with the lead trauma registrar and nursing administration to correct and obtain the information on the hospital record. Reconciles the data as the information becomes available.
  • Ensures compliance with National Trauma Data Bank (NTDB) required standards, as well as other National standards as they become available and as instructed by the Trauma Medical Director.
  • Reviews, corrects, and validates all Trauma Registry reports prior to submission.
  • Evaluates current trends in injury mechanism and advises administrative team regarding needs for prevention initiatives.
  • Cognitively reviews data and advises on needs for change in the Trauma Performance Improvement Plan.
  • Actively participates in educational and clinical research projects conducted by the Trauma Center or other faculty as approved by the Trauma Medical Director.
  • Analyzes data and conducts research relating to education, prevention, and/or trauma services.
  • Represents the trauma center at national, state, and local meetings, as requested by the Trauma Program Manager.
  • Serves on local, state, and national committees as requested by the Trauma Program Manager.
  • Works collaboratively with physicians, coworkers, management and other departments.

EDUCATION AND WORK EXPERIENCE

  • High School Graduate; Solid knowledge of data base management and coding systems preferred; Medical Terminology Class.
  • Prior experience in Trauma Registry is preferred; (Comparable experience will be considered.).
  • Advanced computer skills.  Knowledge of data abstracting, report production and follow-up strategies highly desired.
  • Within 6 months of hire, must participate and pass the most recent version of the AAAM’s Abbreviated Injury Scale (AIS) course. 
  • Within 6 months of hire, must participate in a trauma registry course that includes all of the following content:
    • Abstraction
    • Data Management
    • Reports/report analysis
    • Data Validation
    • HIPAA
  • Participate in an ICD-10 course or an ICD-10 refresher course every five years
  • Must accrue at least 24 hours of trauma-related CE during the Trauma Center Verification Cycle (3 years).
  • Being a current Certified Abbreviated Injury Scale Specialist is not required, but preferred.
  • Effective interpersonal and communication skills.  Familiarity with trauma resuscitation and injury terminology.  Strong problem solving and organizational skills.
  • Demonstrate time management skills. Able to work remotely.
  • Ability to read, write and speak intelligible English; Ability to communicate with patient, family, peers and medical personnel; Be willing to train for more advanced duties or skills.
  • Requires emotional stability and resilience; Must be adaptable to change, be decisive, and demonstrate foresight.  Exhibits organizational and leadership ability.

Physical Demands/Work Environment

  • Occasionally this employee will need to be able to stay in a stationary position and be capable of moving around.
  • Will frequently need to be capable of moving 1-10 pounds.
  • May need to adjust ones positions to maintain computer and other equipment required by position. Continuously needs to be able to operate and use different equipment.
